BOOKING SUMMARY
We’re excited to be part of your event! Below is a simple summary of our key terms. Full Wheel & Spoon Terms & Conditions apply to all bookings.
BOOKING & PAYMENTS
• Your date is secured once the booking is confirmed by us and the 25% deposit is paid.
• The 25% deposit must be paid within 14 days and is non-refundable
• If a deposit is not received within 14 days, we may cancel the booking.
• Final payment is due 14 days before your event.
• If the balance is not paid by the due date we may cancel the booking and the deposit will be forfeited.
• Credit card and PayPal payments may incur a surcharge.
• If paying via bank transfer, please include your booking number as the reference and send a remittance confirmation.
TRAVEL
• Events outside the Gold Coast metropolitan area may incur a travel fee.
• Travel fees are based on distance, travel time and logistics and will be confirmed at the time of booking.
• Additional costs may apply for remote locations, ferry access venues, difficult access sites or paid parking.
WHAT’S INCLUDED
Your package includes:
• Our gelato cart
• Professional staff
• Your selected gelato flavours
• Cups and cones (weddings)
• Cups only (corporate)
• Chosen ‘Cart and Umbrella Style’ - This is a preference only and subject to availability.
Service runs for the agreed time and guest numbers. Gelato allocation may run out before the service window ends if demand is high.
TIMING
• Our Ceremony Package is a daytime service which must conclude by 5pm.
• Our Reception Package can run at any time of day.
• If your event is running late, we reserve the right to enforce the agreed service time.
• If time and availability permits, we may be able to stay back a maximum of 30 minutes.
POWER REQUIREMENTS
• You must provide a dedicated standard 10A power outlet within 10 metres of the cart.
• Power must be safe, reliable and dedicated to the cart.
• If suitable power is not available, we may be unable to commence or continue service.
ACCESS
• Please advise us if the venue has stairs, elevators, narrow doorways, steep driveways, gravel roads or uneven surfaces.
• Our cart is approximately 0.9m wide, 2.1m long and weighs over 100kg.
• We require a minimum operating area of 1.8m x 2.2m.
OUTDOOR & WET WEATHER
For outdoor events you agree to provide:
• A flat, stable and safe surface
• Overhead cover (marquee or roofed area)
• Protection from rain and wind
• Adequate shade
If weather becomes unsafe (for example heavy rain, storms, extreme heat or high winds), we may relocate the cart, suspend service or stop service for safety reasons.
POSTPONEMENTS
• More than 14 days notice: we can move your booking to a new date within 12 months, subject to availability and a rebooking fee.
• Less than 14 days notice: this will be treated as a cancellation.
• Multiple postponements or postponements beyond 12 months may incur additional fees or price adjustments.
CANCELLATIONS
• More than 30 days notice: deposit forfeited.
• 14–30 days notice: 50% of the total fee payable.
• Less than 14 days notice: 100% of the total fee payable.
FLAVOURS
• Flavours must be selected at least 14 days before the event.
• If flavours are not chosen by this time, we will select them on your behalf.
• Specialty flavours such as Sicilian pistachio or certain vegan options may incur an additional fee.
ALLERGENS
Our gelato may contain or come into contact with dairy, nuts, gluten, eggs and soy. Guests with allergies consume products at their own risk.
DESIGNS
• Logos or artwork must be submitted at least 4 weeks before the event.
• Design submission cut-off: 4 weeks prior. Printing cut-off: 2 weeks prior.
• Two design revisions are included before additional design fees apply.
• If artwork is not finalised in time we may produce a design on your behalf.
EQUIPMENT & GUEST SAFETY
• Our cart and equipment remain our property at all times.
• The client is responsible for damage, theft or loss caused by guests, vendors or venue staff.
• Repair or replacement costs may be charged up to a maximum of $20,000.
• Children must be supervised around the cart and equipment.
• We may stop service if staff safety becomes a concern.
INSURANCE & LIABILITY
We hold $20 million Public Liability Insurance.
Our liability is limited in accordance with Australian Consumer Law.
PHOTOS AND VIDEOS
Unless otherwise requested, we may use photos and videos of your event for marketing and content purposes.
ACCEPTANCE
Paying the deposit confirms that you agree to the full Wheel & Spoon Terms & Conditions.
