Payments

We require a 25% deposit within two weeks of sending out your invoice in order to secure the booking. The remaining amount must be paid in full, 14 days prior to your event. Please use your surname and booking ID as your payment reference to avoid any confusion. If making an online payment a 2% surcharge may apply. In the case of cancellation, 25% of your total is non-refundable and a cancellation fee of $55 will be charged, if cancellation is made less than 4 weeks before the event 50% of your total is non-refundable. If you change your mind about hiring our tiki umbrella or neon sign there is a $25 cancellation fee. This is due to these one-off hire items being booked for your date, unavailable for others to hire.

Flavours

The quantity of gelato is determined by the package you’ve chosen and is based on your estimated guest count, you can add more at any time for an additional cost. Flavour choices must be submitted at least 14 days prior to your event. If you do not respond in time we may choose your flavours for you from our popular selection. Custom made flavours must be ordered in advance and incur extra costs. Some flavours are seasonal and therefore may not be available year round. All sorbets are dairy free and vegan. Some gelato flavours contain gluten, nuts or eggs. Please speak with us about allergen details if you have any concerns. Our specialty vegan range incurs an additional fee of $20 per flavour.

Access

We can access most areas but stairs, narrow doorways and elevators can be restrictive. Please keep in mind that our cart is 0.9m wide, 2.1m long and weighs over 100kgs. Please advise us if the venue has steep driveways, gravel roads and uneven surfaces. We require a wet weather plan and ask that you make the venue aware of our attendance. We do not hire our gelato cart unmanned, there must be a Wheel & Spoon staff member present at the time of scooping.

Power

Access to power is always preferable for events longer than an hour or at night, when adequate lighting is needed. Although our freezer can keep its temperature for up to 3 hours — depending on environmental factors; wind, direct sunlight, etc. — we will not be held responsible for the consistency of the gelato, if your chosen venue cannot provide a power outlet. Even if we have agreed to work in these conditions, in order to scoop delicious gelato for your guests.

Timing

Our ‘Ceremony package’ is a day time service and must conclude by 5pm, service after 5pm incurs a fee. our reception package is suitable for any time of the day. In the case that your event/wedding is running behind schedule, we reserve the right to enforce our agreed upon service time. Of course (don’t panic) we want to keep your guests happy, and are generally time flexible, depending on our availability on that day.
